About the Role

We’re seeking an experienced and highly professional Executive Assistant to deliver high‑quality support and ensure the smooth coordination of communication and administrative activities for ECTARC’s CEO and Board.

As the Executive Assistant, you will provide a comprehensive range of executive support services. This pivotal role requires exceptional organisational skills, strong attention to detail, the ability to identify and manage priorities, and excellent written communication skills.

Key Responsibilities

  • Proactive diary and inbox management, including travel arrangements and coordinating competing priorities.
  • Draft and prepare high‑quality communications including reports, briefing notes, board level documents, and presentations.
  • Prepare agendas, compile meeting materials, take minutes, and manage action follow-ups.
  • Ensure the CEO is fully briefed and prepared for meetings, engagements, and key decisions.
  • Coordinate activities, projects and key initiatives.
  • Act as a key liaison between the CEO and internal/external stakeholders, ensuring effective communication and timely responses.
  • Provide administrative and operational support to the Board and the executive team as required.

About you:

As the successful candidate, you will have:

  • Minimum 3 years’ experience in a similar role.
  • Highly confidential discreet and trusted.
  • Exceptional written and verbal communication skills, experienced preparing reports, briefing documents etc
  • Excellent organisational skills, with exceptional attention to detail
  • Strong ability to manage competing priorities and work effectively within tight deadlines.
  • Proficiency in the Microsoft and the ability to learn new systems and processes.
