About the Role

We’re seeking a proactive, professional and highly organised Administration Officer who is committed to assisting our teams in enriching the futures of the students, children and families we work with.

As an Administration Officer, you will provide key administrative support to ECTARC Training Services Management and our teams across both ECTARC Training Services, Head Office and Students. This pivotal role requires exceptional communication skills and strong attention to detail.

Key Responsibilities

  • Provide administrative support for daily office operations, including managing calls, records, and documentation
  • Plan and support end to end logistics for workshops and webinars, including scheduling, venues, catering, participant communication, and event delivery
  • Support Training and Development Officers with administrative tasks and resource preparation.
  • Prepare, compile, and distribute training materials in advance (print and digital)
  • Manage participant enrolments, maintain accurate records in the Student Management System, and ensure timely communication of training details
  • Provide technical and general support for webinars, including troubleshooting access and AV issues
  • Liaise with venues, suppliers, and stakeholders to ensure smooth delivery of training activities
  • Complete post training administration, including processing documentation, issuing certificates, and maintaining compliance records
  • Enter and manage evaluation data, compile reports, and support training analysis and continuous improvement initiatives

About you:

As the successful candidate, you will have:

  • Minimum 5 years’ experience in a similar role.
  • Strong written and verbal communication skills.
  • Exceptional organisational skills and attention to detail.
  • Ability to manage competing priorities and meet deadlines.
  • Demonstrated ability to work independently and collaboratively.
  • A solution-focused approach to problem-solving, with a high level of professionalism, confidentiality, and ethical conduct when engaging with all stakeholders.
  • Proficiency in the Microsoft office Suite and ability to learn new systems.
  • Experience using student management systems or design software.
  • Certificate III or Certificate IV in Business (or equivalent),
